Tunya Titans Refund & Cancellation Policy

1. Purpose

This Refund & Cancellation Policy outlines the circumstances under which refunds, credits, cancellations, and transfers may be granted for memberships, tournaments, coaching programmes, events, merchandise, and other services offered by Tunya Titans Table Tennis Club (“Tunya Titans”, “the Club”, “we”, “our”, or “us”).

The purpose of this policy is to ensure fairness to participants while protecting the financial sustainability of the Club.

2. Scope

This Policy applies to:

  • Club memberships
  • Coaching programmes
  • Training camps
  • Tournaments and competitions
  • Club events
  • Workshops and seminars
  • Merchandise purchases
  • Online payments made through the Club website
  • Payments made directly to the Club

3. Membership Fees

Membership Fees Are Generally Non-Refundable

Membership fees are used to support:

  • Venue costs
  • Equipment purchases and maintenance
  • Coaching programmes
  • Club administration
  • Affiliation and development activities

As these costs are incurred based on membership registrations, membership fees are generally non-refundable.

Membership Cancellation by the Member

Members may cancel their membership at any time.

However:

  • Membership fees already paid will generally not be refunded.
  • Cancellation does not relieve a member of any outstanding financial obligations to the Club.

Exceptional Circumstances

The Club may consider a partial refund or future credit in exceptional circumstances including:

  • Serious illness or injury
  • Relocation outside the Club’s operating area
  • Extended medical incapacity
  • Other circumstances approved by the Club Executive

Supporting documentation may be requested.

Any refund approved under exceptional circumstances shall be entirely at the discretion of the Club.

4. Coaching Programmes

Cancellation by Participants

Where a participant withdraws from a coaching programme:

More than 14 Days Before Start Date

  • Full refund may be granted, less any administrative or payment processing costs.

Between 7 and 14 Days Before Start Date

  • Up to 50% refund may be granted.

Less than 7 Days Before Start Date

  • No refund will normally be provided.

Missed Sessions

No refunds, credits, or make-up sessions are guaranteed for:

  • Absences
  • Personal scheduling conflicts
  • Travel commitments
  • Non-attendance without notice

The Club may offer make-up opportunities where practical but is under no obligation to do so.

5. Tournament Entries


Withdrawal Before Tournament

More than 14 Days Before Tournament

  • Full refund may be granted, less payment processing fees.

Between 7 and 14 Days Before Tournament

  • Up to 50% refund may be granted.

Less than 7 Days Before Tournament

  • No refund will normally be granted.


Withdrawal Due to Medical Reasons

The Club may consider refunds or future event credits where:

  • Medical documentation is provided; and
  • The request is received before the tournament begins.


Failure to Attend

Players who fail to attend a tournament without notifying organisers will generally not be eligible for a refund.

6. Club Events and Workshops

Refund eligibility for events, workshops, exhibitions, and seminars will generally follow the same timelines applicable to tournament entries unless event-specific conditions state otherwise.

Special event conditions published at the time of registration shall take precedence.

7. Club Cancellation of Events

If the Club cancels an event, tournament, workshop, coaching programme, or activity, participants may be offered one of the following:

  • Full refund;
  • Credit toward a future activity;
  • Transfer to a rescheduled event.

The Club shall determine the most appropriate option based on the circumstances.

8. Force Majeure

The Club shall not be liable for cancellations or disruptions resulting from circumstances beyond its reasonable control, including:

  • Natural disasters
  • Extreme weather
  • Public health emergencies
  • Government restrictions
  • Venue closures
  • Utility failures
  • Civil disturbances
  • Acts of God

Where possible, the Club may offer credits, transfers, or alternative arrangements but is not obligated to provide refunds in all such circumstances.

9. Merchandise


Faulty or Damaged Items

Merchandise that is defective, damaged, or incorrectly supplied may be returned within 14 days of receipt.

The Club may provide:

  • Replacement;
  • Repair;
  • Refund; or
  • Store credit.

Proof of purchase may be required.

Change of Mind

Unless required by law, the Club is not obligated to provide refunds for:

  • Incorrect size selections;
  • Change of mind purchases;
  • Customised or personalised items.

10. Payment Processing Fees

Where payments have been processed through third-party payment providers, the Club reserves the right to deduct any non-refundable payment processing fees when issuing refunds.

11. Credits Instead of Refunds

Where appropriate, the Club may offer:

  • Membership credits;
  • Tournament credits;
  • Coaching credits; or
  • Event credits

instead of monetary refunds.

Credits must generally be used within six (6) months from the date of issue unless otherwise specified.

12. Refund Request Procedure

All refund requests must:

  • Be submitted in writing;
  • Include the participant’s full name;
  • Include payment details and proof of payment;
  • State the reason for the request;
  • Include supporting documentation where applicable.

13. Review of Requests

Refund requests will be reviewed by authorised Club officials.

The Club may:

  • Approve the request;
  • Approve a partial refund;
  • Offer a credit;
  • Decline the request.

The decision of the Club shall be final.

14. Processing Time

Approved refunds will normally be processed within:

7–21 business days

depending on the payment method and payment provider involved.

The Club shall not be responsible for delays caused by financial institutions or third-party payment processors.

15. Policy Changes

This Policy may be amended periodically to reflect operational requirements, legal obligations, or changes in Club activities.

The latest version will always be available on the Club website.

16. Privacy

The collection and processing of personal information is governed by the Tunya Titans Privacy Policy.

By using the Website, you acknowledge and agree to the practices described in the Privacy Policy.
